In this section, we’ll guide you through the credential verification process. CloseWise requires only five credentials for verification, though additional credentials may be optional or specific to your state.
The Notary Commission is one of the most important credentials. When uploading it, ensure you include:
Commission Number (if applicable)
Commission State
Expiration Date
We will verify this against your Secretary of State to ensure it is valid and up-to-date.
Upload a government-issued ID (e.g., driver's license, passport) that matches the name on your profile and Notary Commission. This helps us verify your identity.
Your background check report must be completed within the last year and renewed annually. A good source for this is from trusted notary organizations like the National Notary Association or other approved vendors.
This is not the same as your Notary Bond. E&O insurance is an additional policy that protects you against errors or omissions in your work. We require a minimum of a $25,000 policy, but you may want to consider a higher amount depending on your clients’ needs.
The W-9 form is only visible to companies who hire you through CloseWise. It is used for payment processing and for issuing 1099 forms at the end of the year.
Some credentials may not apply to you, but here’s a brief overview:
Notary Training Certificates: If you’ve completed any third-party training, you can upload the certificates here.
Title Producer’s License: If this doesn’t apply to you, don’t worry about it.
Notary Bond: If you have a notary bond, you can upload it here.
Remote Online Notary (RON) Credentials: If you're a remote online notary, upload your RON credential here. If you don’t have specific RON credentials, you can upload your commission, and we will verify that you are RON-approved in your state.
Our verification team typically takes 5-10 business days to process your credentials. Be sure to upload accurate details, especially commission dates and issue dates, to avoid delays. If you need to re-upload documents after a rejection, it may take another 5-10 business days for re-verification.
